Before planning any event I fill out a ginormous form that I started building when I ran my first event so many years ago. Every time I came upon an issue or a new idea for an event I would add it to my form. This form can be an ongoing piece of paper work (it so often is) or a method for the Event Steward to keep track and stay organized. I personally always make the form available to all people who will have a role in the event so that the head will know what the feet are doing. I believe in being transparent with those who are so freely giving of their time to volunteer, and believe that there is no secret "Event Steward Code."
This is the form I fill out immediately when I start to plan, it shows staff members what I expect of them in their duties and helps me to keep on point as far as remembering who is doing what. Feel free to use or modify this form to fit your needs. Just click to download in Word.

Below is a super short power point presentation that I use in conjunction with the above "Organization of Event" file to guide my class about planning an event. It helps a potential steward to understand what questions they should be asking before an event, what is available to them during the planning phase, and how we can use social media as a means to inform people about our events!
